How to promote a workshop on WhatsApp

How to fill your workshops using WhatsApp groups, broadcast lists and Status, without annoying your contacts, and how to track which messages bring bookings.

By the Zittle team ·

For workshop hosts in India, WhatsApp is often where bookings actually happen. Past guests, friends of guests, community groups, the parents’ group from your weekend kids’ class: they’re all on WhatsApp, and they read their messages.

The trick is using it in a way that brings bookings without turning you into the contact everyone mutes. Here’s how.

Typing out the date, time, price and address in every chat is slow, and the details get out of date. Share your event page link instead.

A link to an event on your Zittle website shows up in WhatsApp as a preview card, with the event’s image, title and a short description. Guests tap it, see the latest dates and seats left, and book there and then. Add one line of your own above it, such as “New Sunday batch, 6 seats left”.

Groups: post where people already gather

WhatsApp groups and communities you’re part of, such as neighbourhood groups, hobby groups or alumni groups, can be your best source of new guests. A few rules keep you welcome:

  • Check the group’s rules first. Many don’t allow promotions, or only on certain days.
  • Post rarely, and make it relevant. A new workshop date or a festive special, not every session.
  • Lead with something interesting: a photo or short video of last week’s session works better than a price list.

You can also add a WhatsApp group or community link to your Zittle website, under Social Links in Website Details, so website visitors can join it.

Broadcast lists: message past guests one by one

A broadcast list sends one message to many contacts, but each person receives it as a private message from you, not in a group. It’s ideal for telling past guests about new dates.

  • Only people who have saved your number in their contacts receive your broadcasts. Ask guests to save it when they book or at the end of a session.
  • Keep the list to people who have booked or asked about your workshops, and give them a way to opt out.

Status: show what happens at your workshops

Status updates disappear after 24 hours, which makes them perfect for low-effort, regular content. Contacts who have saved your number see them:

  • Photos and short clips from today’s session.
  • The finished pieces guests are taking home.
  • A countdown: “2 seats left for Saturday”.

Add your event link to the Status, so anyone interested can book straight away.

Know which messages bring bookings

Without tracking, you can’t tell if your bookings came from the neighbourhood group, your broadcast list or your Status. Use a separate campaign link for each.

In your Zittle dashboard, select Campaign Link on the event, choose WhatsApp, and name the campaign, such as broadcast_nov or status. Each booking then shows where it came from. Track where bookings come from shows how.

Let guests book inside WhatsApp

If a lot of people message you to book, Zittle’s WhatsApp chatbot lets them choose an event, a date and tickets inside the chat, apply a coupon, and pay from a link. It’s set up by the Zittle team, and needs a verified Meta Business Manager account and a WhatsApp Business account with WhatsApp Flows turned on. How to sell event tickets on Instagram explains how it works.

After they book

Your work on WhatsApp doesn’t stop at the booking. Zittle sends each guest their booking confirmation and a reminder before the session on WhatsApp. If a session sells out, guests can tap Notify Me and get a WhatsApp message when a seat opens up.

A quick checklist

  • Share event links, not typed-out details.
  • Post in groups only where it’s allowed, and not too often.
  • Build a broadcast list of past guests who saved your number.
  • Post sessions and finished pieces on Status, with a link.
  • Use a separate campaign link for each place you share.
